Work out wedding favor quantities and packing

Favors are optional. If you want them, start with a clear recipient count and a reason the item will be useful or enjoyable. The important quantity is the number of finished favors you can distribute, not the number of loose components in a bulk listing.

Choose the recipient unit

Decide whether a favor is for each person, each couple or each household. Write that rule on the planning sheet before counting. A guest list of 90 people does not automatically mean 90 households, and a single favor per table can be confusing without an explanation. Decide separately whether vendors or children are included. Keep any dietary or age suitability considerations attached to the appropriate choices.

Calculate from confirmed attendance

Use the latest confirmed guest list and add only the spare quantity you deliberately choose. For example, 72 recipients plus six spare favors means 78 finished units. If boxes come in packs of 25, four packs provide 100 boxes, but that does not mean you need to fill all 100. Count tags, ribbon and inserts independently. Check whether a product listing counts paired pieces as one item or two.

Price the finished favor

Include the item, container, label, attachment, delivery and any assembly supplies. A low unit price can become less attractive after personalization and shipping. Compare the total against other uses for the same budget. Avoid assuming resale or returns will recover unused personalized stock. If the favor is edible, choose packaging and storage that the supplier says are appropriate, and retain ingredient and allergen information for guests.

Assemble one complete sample

Build a sample using the actual contents and packaging. Check whether the box closes, the label fits and the item survives gentle handling during packing. Time the process without rushing. If one favor takes four minutes and you need 78, assembly alone is 312 minutes, before setup and cleanup. Simplify the design if that workload does not fit your schedule. Ask helpers only after you know what the job involves.

Plan distribution and leftovers

Decide between place-setting favors and a clearly labeled pickup station. A household favor may be easier to distribute from a staffed table than by placing one at every seat. Keep favors out of walkways and coordinate with whoever sets the tables. Pack spares separately so they do not clutter the display. Assign someone to collect leftovers and decide in advance whether suitable unused items will be kept or donated.
