Plan wedding décor transport before packing the car

Transport planning starts before the final box is sealed. A décor collection needs to fit the available vehicles, arrive during the access window and return somewhere after the event. Plan the outward and return trips together, since the person who delivers may not stay until closing.

Make a box-level inventory

List each container, its contents, destination and owner. Separate rented and borrowed pieces from your own. Measure oversized items, including frames and stands, and compare them with the vehicle opening as well as the space inside. A box may fit in the boot once inside but still be too large to pass through the opening. Record fragile items and anything that needs to remain upright.

Assign people and vehicles

Name a driver for each load and confirm who can help unload. Do not allocate every spare seat to boxes if passengers also need transport. Keep luggage, clothing and personal bags in the plan. Ask the venue about loading access, stairs, lifts and parking arrangements. Share the access window and a contact person with each driver. Avoid relying on someone who is also needed for an early hair appointment or ceremony rehearsal.

Pack for handling, not just volume

Use containers suitable for their contents and keep weights manageable for the people moving them. Separate glass pieces with appropriate protective packing and avoid stacking heavy boxes on delicate objects. Label more than one side of each box. Attach a short contents list and a destination such as guest tables or welcome area. Keep frequently needed setup items accessible instead of underneath the entire load.

Rehearse the difficult part

Test-load the largest pieces and a representative set of boxes before the wedding day. Check that doors close properly and the load can be secured according to the vehicle's guidance. Do not obstruct the driver's view or treat passenger space as unlimited cargo space. If the plan depends on forcing fragile items into gaps, reduce the load or arrange a suitable alternative. Photograph a successful arrangement so helpers can repeat it.

Write the return plan

Assign a destination and collector to every group of items, including empty packaging. Confirm when rentals must be returned and who retains receipts or count sheets. Keep a separate container for loose accessories and a list of borrowed items. Allow for wet, dirty or partly disassembled pieces after the event; they may need different packing from the outward trip. Check the venue before leaving so belongings are not stranded after access ends.
