A linen described as suitable for a wedding table can still be the wrong size for your venue. Start with the actual tabletop measurements and decide how far the fabric should hang. Then check the result with chairs, place settings and the way guests will use each table.

Measure each table type

Ask the venue for the diameter of round tables and the length and width of rectangular ones. Record table height as well. Keep guest tables, buffet tables, the cake table and the welcome desk on separate lines; they may have very different dimensions. Confirm whether a stated measurement describes the tabletop or a supplied cloth. If you can visit, measure a representative table yourself and photograph the label or model information.

Work out the drop

For a round table, the drop on each side is half the difference between the cloth diameter and the table diameter. A 90-inch cloth on a 60-inch round table gives a 15-inch drop. For a rectangle, subtract the tabletop length from the cloth length and divide by two, then repeat for width. A 90-by-132-inch cloth on a 30-by-72-inch table gives a 30-inch drop in both directions. Compare those numbers with the table height; do not assume either example suits your venue.

Test the look in use

Choose the drop deliberately rather than automatically choosing the longest cloth. Check that fabric does not gather in walking routes or interfere with guests moving chairs. Buffet attendants may need access beneath a table, while a display table may benefit from a different finish. Put a sample under the intended runner, centerpiece and tableware. Look at color in the venue lighting and check whether the tabletop shows through.

Compare the complete order

Count by size and color, including any separate vendor or service tables you are responsible for. Ask a rental company which delivery, pickup, cleaning and damage charges apply. When buying, read the care instructions and allow time to inspect the whole shipment. Confirm whether a listing price is for one cloth or a set. Keep packaging until you decide which pieces to retain, and record any return deadlines.

Prepare a linen handoff

Label clean, dry linens by destination rather than leaving several sizes in one box. Give the setup team a simple table map and a photograph of the tested arrangement. Agree who handles pressing or other preparation; follow the material's care label. At the end of the event, keep rental linens separate from purchased ones and follow the supplier's packing instructions. Include a count sheet so a missing cloth can be identified before everyone leaves.
